Instructions for onboarding suppliers and receiving agents and customs agencies.
The procedure
This is how we work together.
Inform your suppliers that you and your company work with WeDeclare as your central customs clearance partner from the effective date. For this, use attachments 1 and 2 or parts of them. It’s important that the carriers and forwarders your suppliers use are made aware of your instructions at the time of assignment.
Parallel to onboarding the suppliers, we will inform the Swiss receiving agents and customs agencies accordingly on the part of WeDeclare.
Provide us with a list of the companies to be informed (name and locality are sufficient) and send us attachments 3 and 4 after they have been signed.
WeDeclare will inform all involved about the instructions concerning customs clearance and will administrate the exchange of information so that it is transparent at all times which company was informed and when.
It is inevitable that both individual suppliers and individual receiving agents or customs clearance agents do not initially adhere to these instructions. In such cases, we recommend getting in touch with the companies in question and to make sure that they understand and follow the instructions. Keep in mind that new participants may come into the picture that do not have the instructions yet. In this case, it is important to inform them as quickly as possible.
Third-party customs clearance
Connecting a ZAZ Account.
Our platform also allows you to view customs clearance processes performed by third parties.
To set up the platform, we need the certificate and the password connected to your ZAZ account.
If you already manage assessment decisions using any form of IT assistance, this information should already be available. If not, you will have to open up an account with the ZKV (customs customer administration) beforehand. You can find instructions on how to do this by following the links below:

Relevant manuals are those with the numbers ranging from 1 to 6 & 7a. Of course, we will support you in setting this up, especially when it comes to topic 6.
